How does Everstage sync data with your source systems?

TL;DR

Everstage syncs data from your source systems on a configurable schedule. That includes CRM (Salesforce, HubSpot, Microsoft Dynamics), HRIS, billing, CPQ, and data warehouses like Databricks. Default is once a day. Any admin can trigger an on-demand sync at any time, with no ticket and no wait. For most commission workflows, daily is enough because commissions are period-based, not tick-by-tick. There’s no technical restriction on running more frequent syncs; the daily default is a deliberate choice. For teams with high-frequency intra-day update needs, Everstage is building faster sync options.

What the reviews say, and what they leave out

We heard you. This is a complaint we took seriously.

Here’s the feedback in customers’ own words:

  • “Data from Salesforce can take a day or two to reflect in Everstage.”
  • “Daily sync process can be time-consuming, sometimes taking an entire morning.”
  • “Reps have to wait longer than ideal to understand their payouts.”
  • “Real-time visibility gaps during month-end and quarter-end close.”

Each one reflects a real experience. And they're all pointing at the same moment: period close. That's when upstream systems absorb a surge of updates — deals pushed through, ARR finalized, quota changes landing all at once and the sync job has to process all of it in one run. The more changes upstream, the longer the job takes. That's what's behind 'takes an entire morning' and 'real-time visibility gaps during quarter-end close.' It's a processing-volume problem, not a configuration problem. And it's the one Everstage is directly addressing.

How Everstage sync actually works

Default: automated sync runs once a day. The job is scheduled. It pulls changes from your source system into Everstage on a 24-hour cadence.

On demand: any admin can trigger a sync at any time. The trigger lives in the integration settings inside Everstage. No support ticket required, and no coordination needed with the Everstage team.

Why once-a-day is the right default. Everstage calculates commissions at the end of each period, after the numbers settle. Whether a deal closes at 9:03 AM or 4:47 PM on the same day rarely changes what a rep gets paid that cycle. A daily cadence matches how most commission plans actually work.

Commissions close at the end of a period, not the end of an hour. Daily matches the cadence of the work. Where the delay actually comes from. For most of the year, the sync window is short and unremarkable. The pain concentrates at period close. When a quarter ends, upstream systems absorb a large volume of changes in a short window; closed deals, revised quotas, ARR adjustments, role changes and the sync job has to consume all of it.

The more changes upstream, the longer the sync runs. That's the gap that matters. It's not a settings problem; it's a processing-volume problem. And it's what our upcoming releases are built to address.

Salesforce sync: a closer look

The same default-daily, on-demand, anytime mechanic applies. If you're running commissions on Salesforce data and need a more current view, an admin can trigger a manual sync from the integration settings. There's no technical restriction preventing more frequent syncs.

What about admin actions during the sync window?

A related point that shows up in reviews: while the daily sync is running, certain write operations are paused to ensure payout accuracy and protect data integrity. When the sync overlaps with the start of the workday, the processing window turns into an operational blocker. Reviewers sometimes call this a “blackout”.

The reason for the restriction is data integrity. A sync writing into the same records an admin is editing produces inconsistent state, and that’s the kind of error that lands in a payout. The trade-off protects accuracy. It also means the length of the sync window matters.

What customers do about it today. Move the scheduled sync outside business hours so the window doesn’t collide with active admin work, and trigger manual syncs during quieter periods of the day.

What’s changing. The latest releases (covered below) shrink the sync window itself. A shorter sync means a shorter restriction window.

What Everstage has built

For teams that need intra-day updates, not just faster discoverability of the manual trigger, two features can help. Both aimed at the same problem: shrinking the sync window at period close, when upstream data volume peaks and the job runs longest.

For teams that need intra-day updates, not just faster access to the manual trigger, two features can help. Both are aimed at the same problem: shrinking the time it takes to get commission outputs during period close, when upstream data volume peaks and the job runs longest.

The first is a calculation-layer optimization — it changes how Everstage processes transformed data into commission outputs, not how it pulls data from the source system. The result is shorter commission calculation time overall. The architectural change: processing scales with plan complexity, not org size. As the number of payees or companies grows, calculation time doesn't take a proportional hit, because Everstage processes based on how plans are structured rather than headcount. For enterprise workloads where plan complexity and team size tend to grow together, that distinction matters.

The second is an approach we're exploring to lower overall sync latency through incremental, near real-time updates for specific events, rather than only processing faster in batches. Rather than waiting for the sync job to pull everything from the upstream source in one shot, it pulls data in smaller intervals throughout the day and stores it locally. When the actual sync job runs, it reads mostly from the local cache and only queries the upstream source for the delta not already covered. The net effect is a shorter sync window because most of the heavy data movement has already happened in the background. Works for any source system that supports incremental syncs.

For most teams, daily remains the right cadence. The recent releases exist for the subset of workloads where daily isn't enough.

The challenge isn't usually sync frequency. It's what happens at period close, when a large volume of changes needs to be processed in a short window.

FAQs

How often does Everstage sync data from my source systems?

By default, Everstage runs an automated sync once a day across connected systems — CRM, HRIS, billing, CPQ, and data warehouses. Any admin can also trigger a sync on demand at any time, without a support ticket.

Can I trigger a manual sync in Everstage?

Yes. The manual sync trigger is available to admins inside the integration settings for each connected source system. No support ticket required.

Does Everstage support real-time data sync?

Everstage uses scheduled and on-demand syncs rather than push-based real-time updates by default. Commissions are period-based, so intra-day updates rarely change what a rep gets paid for the cycle. For teams that need closer-to-live data, Everstage has built faster sync options.

Why does the sync take longer at period close, and what is Everstage doing about it?

At period close, upstream source systems absorb a high volume of updates in a short window: deals closing out, quotas being finalized, ARR adjustments, role changes. The sync job has to process all of it, and the more upstream changes there are, the longer the job runs. This affects nearly every customer at some point during the period cycle, not just large teams. Everstage is addressing this directly with two features.

The first one is designed so that performance scales with plan complexity rather than org size meaning a growing payee count doesn't automatically extend the sync window. The second one takes a complementary approach: it pre-fetches data from the upstream source in smaller increments throughout the day, storing it locally. When the main sync job runs, it reads mostly from that local cache and only pulls the delta from upstream. The result is a materially shorter sync window, because most of the data movement already happened in the background. Shrinking the sync window is the core fix and both initiatives are built around it.

What systems does Everstage sync with?

CRMs (Salesforce, HubSpot, Microsoft Dynamics, Pipedrive), HRIS (Workday, BambooHR, others), data warehouses (Databricks, Snowflake), billing and CPQ systems, and file-based or Fivetran-orchestrated sources. The connector list expands; check the latest list with the Everstage team.

Is the Everstage sync delay a platform limitation or a configuration setting?

It’s a configuration default. There’s no technical restriction preventing more frequent syncs. Most customers keep the daily default because it matches how commission calculations actually work.

Does Everstage sync with Salesforce in real time?

Everstage syncs Salesforce data once a day by default and on demand whenever an admin triggers it. Push-based real-time sync isn’t the default because commissions are period-based. For Salesforce-heavy workloads that need faster updates, our latest features can help.

Can I sync Everstage with Salesforce more than once a day?

Yes. There’s no technical restriction on sync frequency. Admins can run manual syncs whenever they need one, and customers with high-frequency update requirements can work with the Everstage team on faster sync configurations

Why does Everstage show different data than Salesforce?

The most common reason is timing. Salesforce was updated after Everstage’s last scheduled sync. Running a manual sync from the admin settings refreshes the data. What do I do if my commission data in Everstage looks outdated?

Run a manual sync. Any admin can trigger one from the integration settings inside Everstage. If the data still looks off after the sync completes, check with your ops team or contact Everstage support.
